Is it not a requirement that all incoming and outgoing post is vetted by a partner or someone of that authority?
When I was a Legal Exec all my post and file notes were vetted.
When I qualified and became a solicitor employing a solicitor and clerk all their post, in and out, was vetted by me.
A situation similar to the one described happened to me. The assistant solicitor concerned lasted a further ten minutes three of which were spent with me helping her on with her coat.
